Human Intelligence is built for collaboration. The sooner your team is on the platform, the sooner everyone is working from the same trusted numbers. This guide walks you through getting people added and making sure they see only the data they should.

How Team Members Are Added

Users are assigned to Human Intelligence by your IT Admin, typically through your identity provider. To get your team on board:

Reach Out to Your IT Admin

Request that they assign the users who need access to the Human Intelligence application in your identity provider. If your organization hasn’t connected its identity provider yet, point them to the SSO & Directory Sync setup guide.

Choose System Roles

Every user is added with one or more of three system roles — Platform Admin, Data Admin, or Member. The majority of your team should be added as Members. See the role breakdown below for guidance.

Assign Data Roles

Once users are in the application, they receive data roles that shape what data they can see — for example, giving your recruiting team access to hiring metrics while keeping compensation data visible only to HR leadership.

Roles at a Glance

Every person in your workspace holds one or more system roles, which control what they can do on the platform. System roles can be combined — for example, someone can be both a Platform Admin and a Data Admin.
Set data roles before you share sensitive data. Make sure your categories, org boundaries, and rules are configured before adding teammates who should not see compensation, demographic, or other sensitive dimensions. System roles alone control feature access — data roles control data access.

A Quick Note on System Roles and Data Roles

System roles determine what someone can do (administer the platform, manage the data layer, explore metrics). Data roles determine what someone can see (compensation metrics, demographic dimensions, recruiting dimensions). Data roles are defined by your Data Admins as rules pairing data categories with org boundaries, and a person can hold several of them. Think of it this way:
  • System role = feature access.
  • Data roles = data access.
You will want both in place for a secure, well-governed workspace.

Tips for a Smooth Rollout

  • Start with your core analytics team. Have your IT Admin add the people who will define metrics and manage definitions first. They can validate the data before a wider launch.

  • Review roles quarterly. As people change jobs or leave, make sure their system role and data roles still make sense.
  • Default to Member. Not everyone needs to administer the platform or the data layer. Add most people with the Member system role, and shape what they see with data roles.
